TRANSCITY LIMOS TERMS AND CONDITIONS OF SERVICE RENTAL AGREEMENT
To maintain premium service standards and ensure maximum vehicle availability for our valued clients, the following policies govern all reservations:
RESERVATION REQUIREMENTS
LIABILITY AGREEMENT: This agreement constitutes a binding contract between this company and/or affiliates for vehicle service provision. Except for damages resulting from Motor Vehicle Collisions (as defined by Arizona State Law), the customer/cardholder assumes complete responsibility for any vehicle and/or content damage caused by themselves or accompanying parties. Damages encompass, but are not limited to, rips, tears, breakage, burns, spills, stains, dents, misuse, abuse, or missing items, excluding routine exterior soiling. Customers will be billed accordingly for repairs, replacements, and vehicle downtime. The hiring party assumes responsibility for all charges and vehicle return in original condition. Company determinations regarding damages are final and binding.
CREDIT CARD AUTHORIZATION: The card issuer authorizes payment for the TOTAL AMOUNT DUE. The cardholder and/or reservation holder commits to pay the TOTAL AMOUNT DUE (including any additional charges that may occur) in accordance with the governing card agreement.

RESERVATION REQUIREMENTS
- TransCity Limos and/or its affiliates require a valid credit card and government-issued photo identification to secure any vehicle reservation.
- All reservations require an initial deposit of 50% of the total reservation, including all applicable fees (gratuity, fuel surcharges, etc.) at the time of booking. Failure to provide the required deposit will result in automatic cancellation. TransCity Limos reserves the right to modify deposit requirements and may request additional deposits as necessary.
- No-Show Policy: A reservation will be classified as a "No-Show" if the client cannot be located at the designated pickup location or reached via telephone within thirty (30) minutes of the scheduled pickup time. All No-Show reservations incur full charges, including gratuity, fuel surcharges, and all applicable fees.
- Modification and Cancellation Policy:
- All reservation modifications (including service date, pickup/drop-off times) are subject to vehicle availability and may result in rate adjustments.
- Cancellation requests must be submitted via telephone at 480-809-3030.
- Cancellations received more than 21 days prior to the scheduled service date will receive a full refund, less 20% cancellation fee.
- Cancellations made 21 days or fewer prior to the scheduled service date will incur full charge of reservation, including all fees.
- All Special Event reservations (Proms, Weddings, Holidays, Sporting Events, Concerts, Corporate/Group Events) are non-refundable upon booking.
- TransCity Limos maintains the right to immediately terminate service without refund for any verbal and/or physical abuse directed toward our chauffeurs or employees.
- While we strive for punctuality, TransCity Limos cannot assume responsibility for delays caused by traffic conditions, mechanical issues, or adverse weather events.
- Given Arizona's climate conditions, vehicle air conditioning systems operate under significant demand. While we maintain our climate control systems to optimal standards, interior temperature preferences may vary, and such variations shall not constitute grounds for service termination or refund.
- Garage-to-Garage Service Calculations: For destinations outside Phoenix city limits (or as otherwise specified), charges are calculated from the time of garage departure through return. While minimum billable hours are provided in estimates, actual duration may exceed these minimums.
- Commercial Fuel Rate (CFR): Rates for all vehicles are calculated based on the Energy Information Agency's (EIA) published forecasts. Final billing may reflect adjustments based on current rates at time of service. Specialty vehicles and motor coaches may incur different CFR calculations.
- All vehicles undergo rigorous maintenance and quality control inspections to ensure optimal performance.
- TransCity Limos assumes no liability for personal items left in vehicles.
- The privacy divider must remain in the down position throughout service.
- Client satisfaction concerns must be submitted in writing within 24 hours of service completion. Absence of such notification constitutes acknowledgment of satisfactory service.
- The following are strictly prohibited and will result in immediate service termination without refund:
- Disruptive behavior
- Illegal activities
- Inappropriate conduct
- Vehicle substitutions may occur in the event of a mechanical or safety issue without notice.
- Age verification is required for any clients appearing under 21. Alcohol is strictly prohibited in vehicles when any passenger is under 21. Violation results in immediate contract termination without refund.
- Biohazard Cleaning Fee: Minimum $550.00 for regurgitation inside or on any vehicle surface
- Overtime charges apply for service extensions, rounded to the nearest hour
- Glassware/Decanter Removal or Damage: $25.00 per glass, $80.00 per decanter
- General Cleaning/Damage Fee: Minimum $125.00 for excessive cleaning needs or vehicle damage (including but not limited to rips, tears, beverage spills, smoking evidence, food residue, breakage, glitter)
- Smoking, vaping, and food consumption are strictly prohibited in all vehicles
- Standard rates marked with (*) exclude gratuity, fees, and additional charges
- All terms, conditions, deposit requirements, and policies are subject to modification without notice
