Terms and Conditions of Service Rental Agreement
In order to provide the highest level of customer service and maximum availability to all of our clients, we follow the policy below on all reservations.
• A valid credit card & photo ID are required in order to reserve any vehicle from TransCity Limos and/or its affiliates.
• Deposit Requirements: At the time of booking, all reservations require a deposit equal to 50% of the total reservation fare plus all fees (gratuity, fuel, etc.). If a deposit is not received, the reservation will be cancelled. Deposit requirements for reservations are subject to change and additional deposits may be required.
• No-shows: A reservation is considered a “No Show” if the passenger cannot be located at the specified pickup location or contacted via phone within (30) minutes after the scheduled pickup time. For all No-Shows, the full trip fare, including gratuity, fuel and all fees, will be charged.
• Cancellation/Change Policy: Changes to the reservation including, but not limited to, date of service, pickup or drop off times, are subject to availability and new rates may apply. To cancel or modify an existing reservation, call 480-809-3030. Notification of cancellation must be received at least 21 days prior to scheduled reservation date to avoid the charge of the full reservation fare plus all fees (gratuity, fuel, etc.). Any cancellation 20 days or less prior to scheduled reservation date will result in a cancellation fee of the full reservation fare plus all fees (gratuity, fuel, etc.) All Proms, Weddings, Holidays, Sporting Events, Concerts, Corporate/Group Events and Special Event reservations are non-refundable.
• Immediate termination of services will be made if client and/or guests of client verbally and/or physically abuse chauffeur or any employee of TransCity Limos and no refunds will be issued.
• TransCity Limos is not responsible for traffic delays, mechanical problems, weather, etc.
• Due to the high temperatures in Arizona, A/C units work hard in order to keep the interior temperature satisfactory. There is no guarantee that the vehicles inside temperature will be to your satisfaction and that this will not interfere with the safety of the vehicle and therefore will have no effect on continuing or paying of the contracted trip.
• Garage-to-Garage Drive Time Calculations: (Only applicable traveling to and from outside Phoenix city limits or otherwise noted) Garage-to-Garage means charges are calculated by applying the applicable hourly rate plus any fees (gratuity, fuel, etc.) commencing from the time the chauffeur departs our garage to begin service and continuing through such time the chauffeur concludes service and returns to our garage. The minimum number of billable hours appears in the estimate; however the actual billable hours may exceed the minimum.
• Commercial Fuel Rate (CFR): For sedans, SUV's, limousines and all bus services, the CFR is calculated based on the Energy Information Agency's (EIA's) published fuel pricing forecasts. Quoted amount may differ from billed amount based on forecast in effect when services are provided. Commercial Fuel Rates for specialty vehicles and motor coaches will vary.
• TransCity Limos guarantees that all of our vehicles are constantly checked to keep the highest possible standards and eliminate such failures as much as possible.
• TransCity Limos shall not be responsible for any items left in its vehicles.
• The privacy divider shall stay down in a locked position.
• If not satisfied with the services rendered, please submit a written complaint within 24 hours. If no complaint is received within the time allowed, then client agrees that there is no valid complaint and is fully satisfied with the services rendered.
• Rough behavior, illegal activities, or lewd acts are not allowed in any vehicle(s) at any time and will result in immediate termination of service without refunds.
• In the event of last minute substitution of vehicle(s), client agrees to pay same rate as the original contract for similar or alike vehicle. For a lesser vehicle, rate to be adjusted to reflect such change.
• TransCity Limos reserves the right to card any client they believe is under 21. If anyone in the party is under 21, no alcohol is permitted in the limousine. Underage drinking will result in an immediate termination of contract and no refunds will be issued.
PLEASE NOTE:
• A $550.00 minimum cleaning fee will be assessed if client or guest of client regurgitates inside or on any part of vehicle.
• Additional charges will apply for overages and rounded up to the nearest full hour. Overtime charges may apply.
• If you would like to take any glassware or decanters with you, a minimum charge of $25.00 for each glass and $80.00 for each decanter will be charged to your credit card account. Otherwise, please leave the glassware and/or decanters in the limousine upon departure. (Same applies for damaged or broken glassware and/or decanters).
• A $125.00 minimum cleaning fee and/or repairs will be assessed for any excessive cleaning and/or damage to the vehicle (rips, tears, beverage spills, smoking, eating, breakage, glitter, etc.)
• NO SMOKING, VAPING OR FOOD PERMITTED IN ANY VEHICLES.
• * Next to rate on email quotes or verbally quoted standard rates does not include gratuity, fees or any additional charges.
• All terms and conditions including, but not limited to, deposit requirements and cancellation and refund policies, are subject to change without notice.
LIABILITY AGREEMENT: This agreement is a contractual arrangement of this company and/or affiliates for the hire of vehicle services. Customer/cardholder hereby agrees that except for damage caused as a result of a Motor Vehicle Collision; as defined by Arizona State Law, client shall be totally and fully responsible for any and all damage to vehicle and/or its contents including any such damage caused by the customer/cardholder or by another person(s) accompanying the customer/cardholder. Damages shall include, but is not limited to rips, tears, breakage, burns, spills, stains, dents, misuse, abuse or missing items, etc., with the exception of routine exterior soiling. Customer/cardholder and guests will be held financially responsible and billed accordingly, for repairs or replacements and downtime of vehicle. The hiring party accepts all responsibility for all charges and in RETURNING THE VEHICLE TO THE COMPANY IN THE SAME CONDITION AS WHEN RECEIVED. DECISION REST SOLELY WITH THE COMPANY AND ITS DECISION IS FINAL. By reserving or scheduling a reservation with TransCity Limos via phone or online, the hiring party and/or cardholder agree to the terms and conditions of the rental agreement including, but not limited to, deposit requirements and cancellation and refund policies.
CREDIT CARD AUTHORIZATION: The issuer of the card is and has authorized to pay the amount as TOTAL AMOUNT DUE. I (the card holder and/or reservation holder) promise to pay TOTAL AMOUNT DUE (together with any other charges due thereon) subject to and in accordance with the agreement governing the use of such card.
